How Agentic AI May Transform Event Planning – and Tools You Can Use Now

Autonomous generative AI agents, referred to as ‘agentic AI,’ have the potential to change how meeting professionals streamline processes, enhance attendee experiences, and optimize logistics.

“Think of it as a group of systems of AI working together to handle ever more complicated tasks,” said Anca Platon Trifan, senior manager of strategic partnerships, event technology & AI, Meetings & Incentives Worldwide, during AI & the Future of Events Summit.

The shift is happening fast. Deloitte predicts that 25% of companies that use generative AI will launch agentic AI pilots this year, growing to 50% in 2027. 

For planners, this new wave of AI may transform the way they manage everything from incentive trips to large conferences. 

For an incentive trip, for example, generative AI might suggest a list of popular destinations, but an agentic AI can go a step further by analyzing weather conditions, venue availability, flight options, and car rentals, crafting an itinerary, and even booking everything. 

Agentic AI Anticipates Needs

“These agentic AIs are more autonomous, goal-oriented, and proactive. They anticipate needs and act on them,” said Trifan.

The session reviewed several AI tools event professionals can use for specific tasks, including:

  • Note taking: NotebookLM
  • Event summaries and thought leadership: ChatGPTl, Claude, Perplexity, Gork 3, MeetGeek, and Fireflies.
  • Personalized follow-ups: Claude, Lindy AI, and HyperWrite.
  • Video and audio content repurposing: Opus Clip, CapCut, Descript AI, Adobe Firefly, MeetGeek, Otter.ai, and ElevenLabs.
  • Image and 3D content creation: DALL·E, Midjourney
  • Photo Sharing: Kampfire

Kampfire Uses Photos to Keep the Event’s Message Going

Asaf Shuster, founder and CEO of Kampfire, joined Trifan in the session. Kampfire is a post-event attendee engagement tool that repurposes event content, especially photos.

An example of how Kampfire is used is ICIS, a conference for the Association for Information Systems.  Kampfire distributed over 1,200 event photos to 1,600 attendees, offering personalized photo albums. There were 51,887 social media impressions as a result.
